Culture and Expectations

Our attitude is one of service, aiming to help people flourish and give back into their communities. Dress Code

Neat casual and modest. Closed footwear. Participants must be able to identify that you work for Sparrow Collective so you’ll be provided with an ID tag that you need to wear around your neck whenever working.

Most people switch off the moment “code of conduct” is mentioned - but we are proud of how we conduct ourselves within Sparrow Collective. 

It’s a requirement of your employment that you read and understand both our and the NDIS code of conducts. You can find them in the Safety section of our website or by clicking HERE.

Policies and Procedures

Again, here is where many of us switch off, but it is actually within these policies and procedures that we ensure the safety of our Sparrow community. We expect you to be familiar with the Sparrow Policy and Procedures Manual. It is the road map for how we serve our participants and run the company.

Before Becoming an Employee of Sparrow

Before starting with us, you need to complete and provide the following:

  • First Aid Certificate and CPR

  • Valid drivers licence

  • Valid comprehensive insurance

  • Valid Vic Roads registration

  • 100 points of ID

  • TFN Declaration Form

  • Superannuation Form

  • NDIS WORKER SCREENING CHECK

  • Reference Check (completed by Sparrow)

  • Bank Details - BSB and Account Number

  • Read and understand the Sparrow Collective and NDIS
    CODES OF CONDUCT

Training

Having confidence in your knowledge and ability to serve and support our participants is a good thing!

We provide required training and professional development to ensure you are equipped to do your work to the highest standard.

Social Stuff

Because a lot of the work we do is “solo”, we like to get together every now an then. It’s great to connect with each other and be reminded that we are part of a much bigger picture and all working toward the same goals!

Social Media

Participants need to sign a Media Release for their image or voice recording to appear on any social media.

Important - we advise staff not to add participants to their social media accounts unless they are confident in the relationship.

Personal Items

We encourage you to keep your personal items secure when working with participants.

NDIS Practice Standards

The NDIS requires all staff to be trained in and have access to important information pertaining to the NDIS Practice Standards.

NDIS Online Modules

Before employment, the NDIS Quality and Safeguards Commission requires you to complete the following modules. It should take approximately 3-4 hours.

Safety and Community Portal

Our website contains a ‘Safety’ section with a Community Portal and you must be familiar with it. It outlines our procedure for Incident Management and Reporting.

Confidentiality

It’s vital that you keep all information about your participants private and confidential. Our Confidentiality Policy and Procedure has detailed information about how we ensure the privacy of our participants. Do not share or discuss participant information beyond necessary management or personnel.

Choice and Control

Participants choice and control is vital in all NDIS services. Sparrow Health adheres to the NDIS Quality and Safeguards Commission outline of this and it is detailed in our Policy and Procedure manual. Participants have full choice and control over how they engage with our services and the activities and goals they want to achieve within them.

Service Agreement

As part of participant onboarding, we complete a Service Agreement with people. This agreement outlines the service Sparrow Collective will commence with the participant and other terms and conditions.

If there are any changes to the support you do with participants, this must be reported to management and the participant’s Support Coordinator.

Risk Management

We have risk assessment and management tools to help keep participants safe. Our participant referral process indicates if a participant requires a risk assessment or management plan. Also, as a worker, you are required to identify any risks present for the service you offer.

This is a link to our RISK ASSESSMENT form. You will need to use this link anytime a participant needs an assessment done.

We re-assess participants risk assessments every 12 months and assist you in creating appropriate risk management plans.

Conflict of Interest

If you become aware of a conflicts of interest before commencing or during employment with Sparrow Collective, you are required to fill out our CONFLICT OF INTEREST form.

Incident Management

You are required to have a clear understanding of our INCIDENT MANAGEMENT SYSTEM and to know what your responsibilities are in the case of an incident occurring.

Management must be notified of an incident as soon as possible. All reportable incidents will be logged to the NDIS Commission no later than 24 hours after being made aware of it.

How Do Shifts Work?

Shift Structure

For all 1:1 supports the following structure applies:

  • Checkin - find out how the participant is, what happened in their week and what are their needs now.

  • Goals - talk through the goal for todays session and touch on how it relates to their bigger goals.

  • Checkin - before the shift ends, see if there’s anything they require completing before you leave or anything you need to prepare for the next shift.

  • Reflection/Feedback - briefly reflect with the participant, what was achieved in the session and any feedback they have.

  • Log shift - before leaving (perhaps in your car) log the shift in Caremaster. Be sure to add your casenotes (goal evidence).

How do I book sessions with participants?

Participant sessions are booked in our app by our admin team. You will receive a login that gives you access to participants you are working with. 

For the participants who have given permission, you will find the goals they have set in their NDIS plan within their record. We require  you to read through this to gain a better picture of what that person is wanting to achieve.

How does travel work?

  • Provider Travel - the provider is able to charge for the time it takes them to travel to the participant. This can be charged for up to 30 mins per participant. This is paid pro rata of the hourly rate.

  • Participant Transport - Kilometres can be claimed only when transporting a participant in your vehicle, during a session. Km’s are paid at the Fair Work standard per km. You can track km’s traveled within a session via our app.

We strongly encourage you to track the km’s you travel for work in the ATO app (or another one you like). You can also claim those km’s as a motor vehicle expense on your personal tax returns. Talk to your accountant about this.

How to use the app

Participant Goals

Working with Participant Goals

Goals are the scaffolding of your support with participants.

Each participant has specific goals they set within their NDIS plan. Your work with them will reflect these goals. Many goals are broad things like, ‘I want to connect more with my community’. Your job is to help your participant define more specific goals within their broad ones.

Use this Goals Progress form with your participants to help you review, set and re-set their goals. You need to do this regularly and as a focus of your work with people.

How do I get paid?

Pays are processed weekly and shifts are recorded through our app, CareMaster. You will receive a login for this app and it’s your responsibility to make sure the shifts are recorded correctly. We will help you understand how to use the app, record sessions and participant case notes and make any incident reports.

Can I claim work expenses on my tax?

As an employee of Sparrow Collective, you can claim deductions on your tax return. We recommend using an app like the ATO app, for keeping records of your tax deductible items.

  • First Aid Courses

  • Professional Development

  • Donations and Gifts to tax deductible organisations

Applying for leave

If you’re a casual worker, you apply for leave through the Caremaster App. This will automatically cancel your shifts for the time that you are away.

If you’re a part/full time staff member, you’ll be invited to the My Payroll feature in Xero. To apply for leave, you need to download the app, ‘Xero Me’.
